Although the college had successfully operated Colleague on premise for years with minimal customization, lack of direct access to live data and increasing cybersecurity concerns created risk. NCSC migrated its on-prem Colleague system to the SaaS-based Ellucian Platform, prioritizing security and stability. With a disciplined testing plan, strong internal project leadership, and close collaboration with Ellucian advisors, the team executed a seamless weekend go-live.

Modernizing for Security and Stability

North Central State College is a two-year community college in Ohio serving approximately 2,600–2,800 students across multiple campuses. The institution operates within a shared campus environment and supports a diverse student population, including a significant percentage of College Credit Plus students.

The college had been an Ellucian Colleague institution since 2005, successfully operating finance, payroll, student accounts, and financial aid with minimal customization. While the system functioned effectively, increasing cybersecurity concerns and direct access to live institutional data created growing risk.

For Vice President of Finance and Business Services Lori McKee, safeguarding institutional data became the primary driver for modernization. As cyber threats continued to evolve, maintaining an environment where individuals could access raw data posed a risk that leadership could no longer ignore.

North Central State College made the strategic decision to migrate its on-prem Colleague system to Ellucian's SaaS Platform environment. The goal was clear: strengthen security while maintaining operational continuity and minimizing disruption to faculty, staff, and students.

Execution was deliberate and highly disciplined. A dedicated internal project lead worked closely with Ellucian advisors to manage timelines, testing, and communication. The college conducted structured testing to validate processes and ensure readiness before cutover. Leadership also communicated proactively with faculty and staff to prepare for schedule adjustments and system downtime.

The transition itself was completed over a single weekend. Systems were shut down Friday afternoon, converted, and fully operational by Monday afternoon with only minimal post-go-live adjustments required.

Since going live, the institution has strengthened data protection and reduced risks associated with direct database access. While some reporting processes required adaptation, leadership views the modernization effort as a critical step toward long-term sustainability and institutional resilience.

For McKee, modernization represents responsible leadership, balancing operational needs with security, discipline, and forward planning. By prioritizing data protection and maintaining clear communication throughout the process, North Central State College executed a modernization effort that positioned the institution for continued stability and growth.
