Our last blog in the TCSI series explained how the new reporting requirements will bring success for tertiary education institutions in Australia. Now that the TCSI go-live date is just around the corner, Dinil Wijesinghe, Senior Regional Business Specialist and TCSI lead at Ellucian, shares his checklist for how to prepare.

TCSI take-off

Over the past year, we’ve been working with our customers in the region, supporting them as they prepare for TCSI to go live in early December. During this time, we’ve had many conversations with them about what the new reforms mean and how they will impact institutions in Australia.

The biggest challenges I hear when I’m speaking with customers are:

  • How do I overhaul our institution’s processes in line with these new reporting requirements?
  • If I have a customised solution, how do I make sure my institution can keep up with new legislative requirements?

Redefining processes on the back of technological change can often be complicated, as you are not only getting used to working with new software – you’re transforming the way you’ve always approached a task.

We work closely with many institutions to provide a TCSI solution that makes the integration with their student management system (SMS) seamless. In addition to our out of the box solution that can flex depending on whether the institution has a fully-customised SMS or a simpler product, we also give on-the-ground support to make sure our customers have everything they need to meet the new reporting requirements.

To help make sure you understand the new requirements and are prepared to commence with reporting with TCSI, we have compiled the following checklist:

Your checklist for preparing your institution for TCSI transition

  • Define transparent processes around how reporting will be managed at your institution.

    Once you have your reporting solution in place, it is important that you define what processes your institution will use internally when TCSI goes live. For example, you will need to consider how often you need to report, what data you need to report and how you can remove the manual interaction with reporting. Make sure you work with your software vendor to test your solution and develop training materials for staff ready for the go live date.
  • Consider how your institution is going to perform data verification.

    Data validation is the most detailed step in the TCSI reporting process, so it is really important you know exactly how you are going to perform verification and validation. The Ellucian solution can take this off your hands by providing real-time data validation.
  • Identify the critical staff that will be handling the delivery of TCSI at your institution.

    Make sure there is a clear team set up to manage the process. This includes identifying who will be overseeing the process, so whenever the front office administrative staff make a change, the notification workflow is directly sent to these critical TCSI staff.
  • Set up authentication for PRODA.

    PRODA is the third-party authentication system selected for TCSI. You will need to make sure that you have set up your integration account with PRODA. For detailed guidance on being ready, you can find out more here.
  • Match and verify your existing data.

    Ellucian provides an out of the box data extract capability to run GET calls and this can be used by the institutions extract historic data from TCSI.

Once you have finished onboarding using the above checklist, you are ready to go live with TCSI.
