The annual Ellucian Impact Award recognizes institutional leaders who drive ambitious initiatives, demonstrating skills and expertise to successfully manage change towards clear, common goals across multiple stakeholder groups.

Instituto Profesional AIEP is a technical and professional higher education institution that serves 100,000 students across 25 campuses. Leveraging Ellucian Banner, Instituto Profesional AIEP launched a comprehensive transformation with over 97 initiatives. The result has been an increase in total enrollment, improved student satisfaction and retention, and an expansion in new career paths for students.

The Challenge: Laying the Foundation for Transformation

AIEP began with a central objective: Provide a comprehensive professional technical education in which learners of all ages could succeed. The project will last from 2022 to 2024, starting with what leaders described as the "Foundations" stage. During this stage, they worked to close infrastructure gaps that were holding the institution back.

To help, AIEP created the Vice Chancellor's Office for Transformation and New Solutions. The first position of its kind among Chile's professional technical institutions, the vice chancellor directs and oversees AIEP's transformation process. Equipped with a long-term modernization roadmap and newly established progress trackers, AIEP laid the groundwork to reimagine and enhance the student experience.

Next, AIEP leadership identified a series of technology enablement projects necessary for their transformation. Some were internal, such as developing a culture ready to embrace change while enhancing technology management practices. Other improvements were based on the technology itself, such as implementing enterprise architecture capabilities in the form of Ellucian Banner and evolving infrastructure to scale. Finally, AIEP focused on building sustainable practices in the form of a new solution lifecycle methodology and data-driven IT management.

With their transformation underway, AIEP sought to use these improvements to significantly impact student enrollment, satisfaction, and retention.

The Solutions: Secure and Ready to Scale

With Banner at its center, AIEP's expanded and better integrated technology ecosystem has improved information access across teams and roles. Using new insights backed by improved evaluation processes, staff can now make decisions based on timely, reliable data.

Banner has also helped unify curriculum across campuses, introduce analytics for institutional accreditation processes, and enhance projections for academic load and classroom demand. Additionally, with infrastructure updates such as the addition of strengthened firewalls, AIEP can now scale while confident that student and institutional data is secure.

Developments made throughout Banner's implementation have transitioned AIEP from maintaining operations to embracing strategies for continuous evolution. During the first year of AIEP's transformation, improvements have been tracked in student enrollment, satisfaction, and retention, exceeding internal goalposts on all three metrics. And now that innovation is not only a priority but also embedded in the culture, AIEP is set to continue enhancing the student experience throughout the rest of their transformation journey.

Looking Ahead

Having completed the "Foundations" stage in 2022, AIEP looks ahead to the last two steps in their three-year plan. Throughout 2023, leaders will embrace "Evolution," a stage in which administrators, faculty, and staff will continue iterating on processes using modern tools to achieve their goals. And finally, in 2024, AIEP plans for "Growth," in which operations will scale based on a secure and interoperable technology ecosystem.

In collaboration with Ellucian and through the process of implementing Banner, AIEP has defined a framework for continuous improvement. With a permanent focus on reviewing methods and technology based on evolving needs, AIEP is primed to constantly learn, evolve, and grow through the rest of their transformation plan and beyond.
